About the Role
The Bookkeeper is the execution foundation of Novum's client service delivery. This role is
responsible for the accurate, timely, and organized completion of foundational bookkeeping tasks across a portfolio of partner organizations — ensuring that the financial records the accounting team depends on are accurate, current, and complete at all times. Bookkeepers work under the direct supervision of a Senior Accountant and in close coordination with Associate Accountants and other team members. This is a high-accuracy, high-discipline role.
The Bookkeeper does not make independent accounting judgments — they execute well-defined tasks to a consistent standard and escalate questions promptly rather than working through ambiguity alone. What makes this role distinct from a typical in-house bookkeeping position is the multi-client environment. Novum Bookkeepers manage financial records across multiple partner organizations simultaneously, which demands strong context-switching skills, disciplined filing habits, and an
organized approach to managing competing client priorities.
Organizational Context
The Bookkeeper reports directly to the Senior Accountant within the team. The Senior Accountant assigns tasks, reviews work product, and provides day-to-day guidance. The Bookkeeper does not supervise other staff. Questions about accounting treatment, standards, or client-specific policies are escalated to the Senior Accountant — not resolved independently.
Employment classification, work schedule, and compensation are established at the offer stage and may reflect domestic part-time, domestic full-time, or global staffing arrangements.
Responsibilities and performance expectations are consistent across all classifications.
Key Responsibilities
Transaction Processing & Accounts Management
Record and code all client financial transactions accurately and on time in QuickBooks Online and other designated technology platforms.
Process accounts payable and accounts receivable transactions, including entering invoices, tracking payments, and maintaining current vendor and receivables records.
Upload bills to Bill.com and manage the payment queue, ensuring timely processing and accurate documentation.
Monitor and categorize client expenses, ensuring correct coding and compliance with each organization's established policies.
Support payroll processing through accurate data entry related to employee hours, benefits, and deductions as directed by the Senior Accountant.
Bank Reconciliation & Record Accuracy
Perform monthly bank and credit card reconciliations for assigned client accounts, verifying deposits, account balances, and transaction accuracy against source documents.
Identify and flag discrepancies to the Senior Accountant promptly, with clear documentation of the issue and supporting detail.
Maintain complete and current financial records across all assigned client accounts, ensuring every transaction has a clear and traceable documentation trail.
Document Management & Audit Readiness
Maintain organized and secure digital filing systems for all financial documents — receipts, invoices, bank statements, payment confirmations, and reports — in accordance with Novum's document management standards.
Ensure all records are audit-ready at all times, with documentation organized and accessible for Senior Accountant and Accounting Manager review.
Follow established naming conventions, folder structures, and retention protocols consistently across all client files.
SOP Adherence & Quality Execution
Execute all assigned tasks in strict accordance with Novum's established SOPs, close checklists, and documentation standards.
Complete assigned close tasks within established deadlines, communicating proactively with the Senior Accountant if a deadline is at risk.
Perform a self-review of all work before submission, catching errors before they reach the Senior Accountant's review queue.
Escalate any question about how to handle a transaction, coding decision, or client-specific situation to the Senior Accountant — never proceed through uncertainty independently.
Team Collaboration & Communication
Communicate promptly and clearly with the Senior Accountant and pod team members to ensure smooth workflow and timely information exchange.
Coordinate with Associate Accountants on shared client workflows as directed, maintaining clear handoff documentation.
Actively participate in team meetings and training sessions, contributing to a collaborative and high-performing pod environment.
Demonstrate continuous improvement in accuracy, speed, and professional habits over time
Qualifications
Required
High school diploma required; associate degree or accounting certificate preferred.
Demonstrated bookkeeping experience, including hands-on work with accounts payable, accounts receivable, and bank reconciliations.
Proficiency in QuickBooks Online or comparable accounting software; willingness to learn additional platforms as required.
Exceptional attention to detail and a genuine commitment to accuracy in all financial work.
Strong organizational skills with the ability to manage tasks across multiple clients and meet recurring deadlines consistently.
Clear written communication skills and a professional, service-oriented approach to team and client interactions.
Ability to work independently in a remote environment with strong self-management and time discipline.
Preferred
Experience with Bill.com, Financial Cents, or similar accounting and practice management platforms.
QuickBooks Online certification or willingness to obtain.
Exposure to nonprofit, church, or faith-based organizational environments.
Prior experience in a multi-client or managed services bookkeeping environment.

Transaction Accuracy: Error rate in transaction entries, coding, and reconciliation work
Close Task Timeliness: Completion of assigned close tasks within established deadlines
Reconciliation Quality: Accuracy and completeness of bank and account reconciliations
Document Organization: Adherence to Novum's filing standards; audit-readiness of all maintained records
Escalation Discipline: Timely escalation of questions and uncertainties to the Senior Accountant
