About the Role

The Associate Accountant is an early-career accounting professional who executes core accounting tasks across a defined set of partner organizations/clients within the pod. This role is the foundation of Novum's client service delivery — responsible for accurate transaction processing, ongoing accounts management, monthly account reconciliations, and financial reporting support that keeps client books accurate, current, complete and audit-ready. 


The Associate Accountant works under the direction of the Senior Accountant, developing technical competence and professional judgment through structured day-to-day accounting work. This is a learning role with real ownership — Associate Accountants are client-facing from day one and are expected to bring professionalism, accuracy, and responsiveness to every interaction and deliverable. 

Organizational Context

The Associate Accountant reports to a Senior Accountant and works alongside other Senior Accountants within the assigned team. Associate Accountants do not supervise other staff directly but are expected to coordinate and collaborate effectively with Bookkeepers on shared workflows. Technical questions and complex accounting situations are escalated to the Senior Accountant or Director of Accounting — knowing when and how to escalate is a core professional competency for the Associate Accountant.

Key Responsibilities

Client Accounting & Transaction Management

  • Record and process day-to-day financial transactions for assigned partner organizations accurately and on time, using QuickBooks Online and other designated technology platforms.

  • Manage accounts payable and accounts receivable processes, including invoice generation, vendor payment processing, and receivables tracking.

  • Perform monthly bank and credit card reconciliations, identifying and flagging discrepancies for Senior Accountant review.

  • Monitor and categorize client expenses accurately, ensuring correct coding and compliance with each organization's policies.

  • Upload and manage bill payments through Bill.com, maintaining an organized and current payment queue.

  • Maintain complete, organized, and audit-ready financial records — digital and physical — for all assigned client accounts.


Financial Reporting Support

  • Prepare initial drafts of financial summaries, reports, and data inputs for Senior Accountant and Director of Accounting review.

  • Input and organize financial data for client reports, ensuring precision and completeness before advancing work for review.

  • Draft month-end close deliverables by completing assigned tasks within established deadlines and month-end close checklists.

  • Prepare supporting account schedules, workpapers, and documentation as directed by the Senior Accountant or Director of Accounting.

  • Ensure all financial work is documented clearly enough to be reviewed, audited, or handed off without loss of context.


Client Communication & Relationship Support

  • Respond to routine client inquiries and information requests promptly — within 24 hours as a standard — with accurate, professional, and well-organized responses.

  • Participate in client check-in meetings as directed, providing financial updates and supporting the Senior Accountant in meeting preparation.

  • Communicate proactively with client contacts when additional information is needed to complete assigned work, maintaining a professional and service-oriented tone in all interactions.

  • Escalate non-routine client questions, concerns, or relationship signals to the Senior Accountant or Director of Accounting promptly and with clear context.


Compliance & Documentation

  • Adhere strictly to Novum's established SOPs, month-end close checklists, and documentation standards in all daily work.

  • Maintain financial records in compliance with applicable accounting standards and organizational policies, escalating questions about standards application to the Senior Accountant.

  • Support audit readiness by ensuring all transactions have complete documentation trails and that filing systems are current and organized.

  • For nonprofit and church clients, apply basic fund accounting treatment and documentation as directed by the Senior Accountant, consistent with Controller guidance.


Team Collaboration & Professional Development

  • Work closely with Senior Accountants and Bookkeepers on shared workflows, coordinating task handoffs and maintaining clear communication across the team.

  • Actively participate in team meetings, training sessions, and knowledge-sharing initiatives.

Qualifications

Required

  • Bachelor's degree in Accounting, Finance, or a related field.

  • 1–3 years of accounting experience, including internships or entry-level roles with meaningful hands-on accounting responsibilities.

  • Working knowledge of basic accounting principles and their application to day-to-day transaction processing and reconciliation.

  • Proficiency in QuickBooks Online or comparable accounting software; willingness and ability to learn additional platforms quickly.

  • Strong attention to detail and commitment to accuracy in all financial work.

  • Clear written and verbal communication skills, with a professional and service-oriented approach to client interaction.

  • Strong organizational skills with the ability to manage multiple tasks and deadlines in a remote work environment.

Preferred

  • Active pursuit of CPA licensure.

  • Experience with Bill.com, Financial Cents, or similar accounting and practice management tools.

  • Exposure to nonprofit accounting, fund accounting, or faith-based organizational environments.

  • Experience in a professional services, outsourced accounting, or managed services setting.

  • Demonstrated ability to work independently and manage time effectively in a remote environment.

Performance Metrics

  • Billable Utilization: Consistent achievement of 80–90% billability target

  • Transaction Accuracy: Error rate in transaction processing, coding, and reconciliation work

  • Close Contribution: Timely completion of assigned close tasks within established deadlines

  • Client Responsiveness: Adherence to 24-hour response standard for client inquiries

  • Documentation Quality: Completeness and organization of financial records and audit support materials

  • Professional Growth: Demonstrated improvement in technical skills, independent judgment, and work quality over review periods

  • Escalation Discipline: Appropriate and timely escalation of issues beyond scope—neither over-escalating nor working through ambiguity alone
